Zapier has launched AI by Zapier, a built-in tool for Pro plan users and above that combines traditional if-then automation with AI where it adds value. Standard steps cost one task, advanced steps three, and premium steps five. The tool is designed to avoid unnecessary AI costs for tasks better suited to rule-based logic, such as routing leads by budget alone. Users can now build workflows that blend deterministic processes with AI-driven reasoning where appropriate.

AI steps in Zapier workflows operate differently from traditional automation. While rule-based paths always follow predefined branches, AI steps evaluate inputs dynamically, such as assessing urgency in a lead’s open-ended response before routing. This allows for more nuanced decision-making, like prioritizing a modest budget with high urgency over a larger but passive budget. AI steps can also be configured as agentic, granting them access to tools like Slack searches or company news lookups to enhance responses.

Users can select from three AI model tiers: standard for simple tasks, advanced for complex prompts, and premium for deep analysis and multi-step reasoning. Several models, including OpenAI’s GPT-5 mini and Google’s Gemini 2.5 Flash, are available at no extra cost. For enhanced security, users may integrate their own models via Amazon Bedrock. Zapier Copilot assists with setup, while output fields and prompt regeneration streamline refinement and integration into subsequent workflow steps.

Additional features include knowledge source integration for grounding AI responses in documents like Google Drive or Notion, and AI Guardrails for detecting PII, toxic language, or prompt injection attempts. The tool is positioned to support a wide range of use cases, from extracting project updates from chat apps to populating spreadsheets with structured data. Example workflows are provided to illustrate how each model tier aligns with specific tasks.
