The system uses Zaps to sequentially route partner details from Salesforce to Operations, delivery teams, and account managers, replacing manual data entry and dashboard checks. Before automation, incomplete hand-offs caused partners to appear live while still requiring internal reviews, delaying final activation. The workflow now ensures each step is completed before progression, improving accuracy and reducing wait times for partners.

The automation has transformed daily operations for Just Eat Spain’s teams, particularly in Operations, where duplicate data entry and manual reporting have been eliminated. Rubén estimates the system saves about 15 hours per person each week by streamlining processes such as purchase order management, deposit handling, and Salesforce data entry. The improved visibility into workload and resource distribution has also enhanced team productivity and pipeline forecasting. Javier Martínez, Partner Acquisition Manager, noted that the integration of tools via Zapier significantly reduced administrative tasks and manual processing time.

Rubén’s initial efforts began eight years ago with small-scale automations in Spain, aimed at solving specific problems without lengthy development cycles. The success of these workflows led other Just Eat markets, including Italy, the UK, and Ireland, to adopt similar models. Rubén now supports colleagues across these markets in connecting Salesforce, email, and internal tools into functional processes. His role has expanded from local problem-solving to a broader consultative position within the organization.

Rubén continues to enhance the system, recently incorporating AI steps to clean Salesforce data, identify duplicate records, and apply logic that previously required manual checks. The automation has become integral to Just Eat Spain’s operations, with Finance requesting forecasts for future Zapier usage to plan business growth. The workflows are now embedded in the company’s operating rhythm, demonstrating the long-term impact of automation on efficiency and scalability.
