2026 Dropbox Trends Report: AI impact on content at work
Dropbox’s 2026 Trends Report finds AI now occupies 15.8 hours weekly for professionals, with 36.6% of that time spent retrieving context, highlighting a productivity gap in content workflows.
AI is reshaping workplace content creation by accelerating the generation of proposals, reports, and code, but the growing volume of files and scattered information is creating new inefficiencies. Professionals report spending nearly 16 hours each week actively engaging with AI at work, with a significant portion of that time dedicated to locating, opening, and cross-referencing documents and data across multiple tools. This friction delays the delivery of usable results and diverts attention from core tasks, underscoring the need for better-integrated content systems.
The report highlights that gathering context—adding files, links, and background information—is a recurring and time-consuming step in AI workflows. On average, respondents conduct 4.3 additional context rounds before a result is ready, with 37.4% adding context five or more times and 10.0% doing so at least ten times. This repeated effort not only slows progress but also increases the risk of incomplete or inaccurate outputs, requiring further revisions and rework.
AI’s influence extends beyond new file creation, with 46.4% of new work files now created or substantially changed by AI. Nearly half of all new files carry AI’s impact, with 53.0% of respondents reporting that AI shapes at least half of their new content and 12.3% stating it affects 90% or more. This shift demands better management of AI-assisted work to ensure context is preserved and accessible for teams to review, share, and build upon.
The surge in AI-assisted content is also driving a sharp increase in file volumes, with professionals creating or saving 162.6% more new work files compared to before regular AI use. While 93.2% report an increase, the challenge for businesses lies in organizing, sharing, and leveraging this expanding body of knowledge efficiently to avoid further productivity losses.
